What to do
When the Share Server is Down
During
maintenance of our S10455 file server, file shares will be
inaccessible during much of the day on Wednesday. If your share
has a description that says something like the share name
followed by “on 'S10455'” or “on ‘192.156.215.212’”, that share
will be affected.
However, you
can still access critical files with a bit of planning. There
are two options that will allow you to continue to work,
depending on whether files you need to use are in your own
personal share or in a departmental group share. See the options
below.
Option 1 – You
are the sole user of the file and it is in your personal share
In this case,
you can open the files first thing in the morning before the
server is downed for maintenance. If the file is open on your
PC, you will not be able to save it while the file share is
down. If you try to save or the program does an “auto-save” for
you, you may see a box like this:

After you click
OK, your computer will give you an option to “save as”, meaning
you can save it on your own computer, usually under “My
Documents”:

You can save
the file temporarily on your PC. However, to update the file in
your share once it is available again, you should do a “save as”
again before you close the program. At the top of your program,
just below the blue caption bar, you will have menu options
“File”, “Edit”, etc. Click on “File” and you will be able to see
and click on the “Save As” option to get a box just like the one
above.
2. Option 2 –
the files you need are in a share used by several people and/or
several people need to access the file during the day.
Although option
1 above may work, a problem will result if more than one person
makes changes to the file because each person will be making
changes to a different copy. The “save as” option may cause you
to overwrite another person’s version once the share is
available again.
In this case,
the IT department can create a temporary share and move specific
files over for your department’s use. However, we cannot move
entire shares over to a temporary location at this time unless
your total share is 50 mb or less. Please do not ask us to move
extremely large shares for this temporary outage. Doing this
will delay server repairs and may result in some people not
being helped if demands prevent us from helping everyone that
really needs file access.
