POSITION: ADMINISTRATIVE ASSOCIATE II

Montana State University Billings is the third largest University in Montana and is located in Montana’s largest city. DEPARTMENT DESCRIPTION: The mission of the Art Department at Montana State University Billings is to educate students in the understanding, production and analysis of visual art and culture. This educational process includes the development of technical, conceptual and art historical awareness; the development or furtherance of visual and tactile insight; the development of appropriate verbal and written skills; and the fostering of professional attitudes and goals.
POSITION DESCRIPTION:
This position will provide administrative and technical support to the Art Department Chair, Art Faculty, the Northcutt Steele Gallery Director and others as appropriate. Responsibilities include assisting with typing correspondence, tests, reports, professional papers, and other materials; compose and type routine correspondence; serve as receptionist; answer routine questions, meet callers and visitors; register students, print class schedules and transcripts using BANNER Software; handle routine incoming mail, maintain office budget and payroll by utilizing BANNER Software; supervise work study students; complete general secretarial duties as assigned and perform related work as required.
An expectation is to share the university’s commitment to continuous quality improvement. Supporting and engaging in the university’s continuous quality improvement course of action is expected.
QUALIFICATIONS:
· High School Diploma or equivalent.
· Two years of progressively responsible office experience and/or equivalent combination of education and experience.
· Demonstrated competence organizing and prioritizing multiple work loads, meeting deadlines, and exercising adaptability to changing priorities in a busy office setting.
· Experience formatting, typing, proofing grammar, punctuation and spelling of business correspondence and general office forms.
· Demonstrated ability to establish and maintain effective working relationships with diverse groups of people with a congenial, flexible and enthusiastic approach.
· Maintain confidentiality of records and information.
· Knowledge of Microsoft Office Suite (including Excel, Word, PowerPoint, FrontPage and other programs).
· Knowledge and use of standard office machines.
PREFERRED QUALIFICATIONS:
· Knowledge of Banner software.
· Knowledge of University programs, policies/procedures, rules and regulations including academic policies.
